# Using web components (Select "Webpage" from homepage)

### Sync desktop and mobile page content layout

By checking on the "Sync desktop and mobile layout", any changes delete, add, edit on Desktop will automatically apply to Mobile (vice versa)

You can add new web components to your webpage by clicking on the selection above.

### Placement and actions

Once you selected the web component, it will be added to your webpage. The corresponding component editable features will be listed on the right panel. In this example, a banner component is selected. You can add new banners and their respective actions when user clicks on the banner.

Each component can be moved in order by clicking on the arrow beside the component.


# Integration to payment gateway (Select "School" from homepage)

The availability of online payment options is based on availability in your country.

These are 3rd party payment gateway that you need to sign up separately.

Aculearn will be able to accept user’s payment to your webpage if you sign up for 3rd party payment gateway service such as PayPal (available world-wide). Payment gateway services will involve transaction fees. Please check out their terms and conditions.

Interbank transfer or P2P payment are usually free of charge. However, Aculearn will not know if the payment has been made successfully. You will need to check the incoming fund transfer and manually click on “Payment received” on the “Transaction” page location on the left panel of the home page.

Note for P2P payment like PromptPay or PayNow:

Aculearn will generate the QR code with the invoice. The QR code will contain the course fee to be paid. Therefore the user will not need to manually enter the amount to pay.

Payment description will show up in the user’s payment page. You can add any offers or payment instructions on this page.


# Account profile (Select "School" from homepage)

When “Private portal” is checked, users are not permitted to register an account to your webpage. All users have to be registered by the administrator through “User” from homepage

A free 2nd level domain is created for you when you register to Aculearn e.g.: <https://yourcompany.aculearn.com>. If you want to register your own domain (paid service), you can select custom domain.


# Categories (Select "Category" from homepage)

Aculearn category is organised in 3 levels. For example: Home skill->Cooking->Steam food

Please note that category must first be created before you create the course for that category. (Setup course and trainers have to be assigned to that category)

# Create a course (Select "Add course" from course manager)

### Assign teachers

Certain subjects are taught by a few instructors. If you want to permit your users to select their preferred instructors, leave “Teacher” field empty. By leaving the “Teacher’s” field empty, the list of teachers with the match skillset will be listed with the course.

If you enter the teacher’s name(s) in this field, only the teacher(s) listed is(are) showed for that course.

### Course price

If this course is offered at fixed price regardless who is teaching it, you need to enter the price.

If the price of the course is left empty, the price of the course will be based on the individual teacher (trainer) rate.

### Course fee

You can select different payment terms, deposit and discount.

If you have selected “Beginning of the month” or “Pay every X lessons”, Aculearn will automatically generate payment invoice 7 days before the next payment.

If your payment method is interbank transfer or P2P, you will need to confirm receipt of payment before your users are allowed to continue their lessons.

### Adding lessons

You will be prompted to enter the total number of lessons for the course. After which, you can enter the lessons description and upload the material (PowerPoint, YouTube link, Word etc) for each lesson. The lesson material uploaded here will be carried over to live class lesson folder.

Alternatively, you can enter total number of lessons and skip to “Publish”. In this case, Aculearn will list the lessons date and time.

When you click on “Publish”, you will be prompted to select “Publish” or “Publish and schedule”.

If the course is published and not schedule, this course will be “open” schedule which means that users are free to select their preferred teacher and time according to the respective teacher’s indicated free schedule (this is set in “User” menu from homepage).

If you schedule the course, the users will see the available classes as these classes are fixed by your schedule.

### Publish and schedule

When the course is published, it will be listed “Enrol” tab of the “Course manager”. Your users will be able to view these course and request for classes.

If the course is temporary unavailable, you can click on “hide” so that the user will not be able to see this course in your webpage.

You can also click on “Share” to post this course to your Facebook page or send email invites to the users in your user list.

Once class is scheduled, the course will also appear under “Pending start” tab and each lesson start date and time will be displayed for that class.


# Adding class

There are 2 ways to create a new class:

1. Select a course from “Course manager” and select “Add class”.
2. Your user selects the course, date and time based on the availability of the teacher’s schedule and make the payment.

You will see the “Class X” appears on your course details page now. The colour tab of the class corresponds to the calendar on the right.


# Class control panel

Each class has its own control panel to provide you the capability to manage your daily operation and its challenges with ease.

The general rule: Buttons beside the “Class X” apply to the entire class whereas the button of the lesson applies specifically that one lesson.

Depending on your role, you may enter class as Teacher, Assistant or Supervisor.

Teacher- Access full presentation live class function

Assistant- Permission to control presentation

Supervisor – Able to monitor classes to ensure quality without interrupting class

### Make up lessons

You can schedule additional classes through “Make up lesson” function.

Once you have created a make up lesson, you send invites from the list of students.

Please note that “Make up lesson” is not billable (no extra charge for your users).

### Change teacher

It is not uncommon that some teachers may decide not to continue. You can assign new teacher to take over the class by selecting “Change teacher” on the class tab.

When a teacher is unable to teach a lesson, you can select “Add substitute teacher” to invite a teacher to assist in teaching that one lesson. An email invitation will be sent to that teacher with URL to attend that lesson.

### Student list

Select student list to view all the students in your class.

You can access the student’s assessments, past attendances and other courses attended.

You can also “Add student” to join the class. An email will be sent to invite student to attend this class. Please note that the student will be required to pay pro-rated course fee.

It is easy to manage users who want to get a better feel of the class. You can offer them a free trail by selecting “Trial student”. An email invitation with sent with a onetime access link to that lesson.

Some lessons may fall on public holidays or vacation period. You can change the lessons schedule by selecting “Change time” and select new date and time.

Please note as always that any operations on the lesson affect THAT one lesson.

No matter how you change the time of lessons, the lessons are always in sequence i.e.:

If you move lesson 5 after lesson 6, your lesson 6 will now be lesson 5.

Alternatively, you can use the calendar to drag and drop your lesson to a new date and time.

With the calendar, you will be prompted in the change applies to one lesson or all weekly lessons.


# Assignment and assessment

You can send assignments (PPT, Word, Images) to your students. In this “Assignments and messages” tab, you will see the list of all your courses and classes. You can send your assignments and messages to all the students or one class.

Once you have sent your assignments, the students will receive email and notification (if enabled). When your students submit their assignments, you will get email notification as well. Once you have graded the assignment, the students can no longer change their submission.


# Teachers

There is some important information that is needed when you add a teacher to your organisation:

1. Email: Aculearn will send invite link to this email. The teacher will login directly to your organisation.
2. Availability: Users will be able to book class on the teacher’s available schedule. Please note: Users cannot select class time outside the indicated availability. When the class is within the teacher’s availability, the teacher will be asked to “Confirm and accept” the user’s request before sending invoice to the requestor.
3. Skillset and hourly rate: This will allow Aculearn to list the teacher to the respective courses


# Users/ Students

If your school profile permits registration from public, all the registrants will appear in the “Students” list.

If your school profile is marked as “Private portal”, you will need to “Add student” into the database here.

From here, you can access student’s profile, assessment reports, courses sign up, attendance report.


# Email marketing

You can also use “Email marketing” to send promotions and announcements to:

1. All users in the database or
2. Users registered with different category of interest


# Accepting schedule

When a user selects a class based on teacher’s availability, teacher will be notified by email to “Accept”, “Reschedule” or “Reject” the request.

If the teacher accepts the request, a class will be created with an invoice sent to requestor.

If the teacher proposes another schedule, an email will be sent to the requestor to accept the new proposed schedule. If he accepts, an invoice will be sent to him and when the payment is made, a new class will be created.


# Automatic payment and bank transfer

Aculearn is integrated with different payment systems for different countries. It is important for you to understand the differences in payment systems.

Gateway (PayPal, PayNow, Credit Card): You will need to sign up with payment gateway providers such as PayPal or HitPay to accept payment. Please understand the terms of these providers. With payment gateway integrated, Aculearn will be able to confirm receipt of payment and process the invoice without your intervention.

P2P (PromptPay and PayNow) and Interbank transfer: P2P payment is direct transaction between your users and you. It doesn’t involve any payment gateway and thus no transaction cost if the payment is made locally. However, Aculearn will not know if the payment has been made. Therefore, Aculearn can only notify you that invoice has been sent. You will need to check the receipt of payment manually with your bank account.


# Refund

In the event of a request of refund such as cancellation of class or requested by your users, you can select “Refund” from “Transactions” tab from the homepage.

If the refund is requested in the middle of the lessons, the refund amount will be calculated based on the number of lessons that the users have already taken. You can edit the refund amount or click on “Ok” to accept the pro-rate refund amount.


# Reports

You can generate monthly, quarterly, half yearly or custom date range report of the transactions.

If you collect payment for the whole course, the export will show you the deferred payment and realised revenue according to the time of report.
